We invite applications from suitably qualified candidates to fill the position of Executive Assistant (Fixed-term) in the Legal, Risk and Corporate Affairs Department.
The incumbent is responsible for providing administrative, compliance, and corporate secretarial support to the Legal, Risk and Corporate Affairs Department. The successful candidate will assist in maintaining governance frameworks, supporting Board and Committee operations, and ensuring the Credit Union and its Subsidiary remain compliant with applicable laws, regulations, and internal policies.
Job Summary
- Provide legal, administrative, and corporate secretarial support.
- Coordinate Board of Directors and Committee meetings, including preparation of agendas, meeting packages, and minutes.
- Maintain Board and Committee calendars and track action items.
- Prepare basic legal documents, reports, correspondence, and invoices.
- Liaise with internal departments, external stakeholders, and regulatory bodies.
- Assist in maintaining and updating policies and procedures in compliance with legislations and regulations.
- Support onboarding of new Directors, including due diligence checks and maintaining updated governance records.
- Prepare and file statutory documents with regulatory authorities (e.g., COJ, JIPO).
- Assist in developing and implementing compliance initiatives and programs aligned with legal, regulatory, and licensing requirements.
- Maintain accurate records and documentation to support governance and compliance activities.
Education/Experience/Knowledge & Skills
- Associate or Bachelor’s degree in Law, Business Administration, or related field.
- Minimum of two (2) years’ relevant experience.
- Knowledge of AML/CFT/CPF regulations and financial services industry requirements is an asset.
- Excellent communication and interpersonal skills.
- High level of professionalism, confidentiality, and discretion.
- Excellent interpersonal skills with the ability to engage effectively with stakeholders and handle confidential matters with professionalism and discretion.
